Job Description Example

Premier Talent Partners is working with a variety of clients within fast-paced industries nationwide. We are looking for an organized and energetic individual who is well versed in office management. This person must be enthusiastic, welcoming, someone who focuses on details and are charged by multitasking; we need someone who can keep up! Candidates must be readily available. Rates will depend on experience.

Duties & Responsibilities:

  • Handle confidential and non-routine information and facilitate communication between appropriate departments
  • Conserve executives' time by reading and routing correspondence; preparing emails, letters and documents, and assisting with presentations
  • Attend team meetings as needed, taking notes and tracking action items
  • Maintain confidentiality and protect operations by having a high level of discretion
  • Anticipate the needs of our leaders. Plan ahead and be resourceful
  • Act as the primary facilitator for internal and external individuals on matters pertaining to leader access; you are the local expert and go-to resource for general requests and questions; you are the keeper of all team resources
  • Offer suggestions and make improvements to processes
  • Help prioritize conflicting needs along with your leaders, and help them track and remind them of short and long-term responsibilities and commitments
  • Prepare and submit expense reports per policy
  • Work independently on assigned projects from start to finish
  • Observe workplace dynamics and keep leaders updated on what is occurring in the environment
  • Provide administrative support for team members at the front office through answering phones and scheduling meetings as needed
  • Maintain conference rooms, workplace environment, and storage areas
  • Support the team members - helping to manage benefits, keep personal information up to date, and provide the best possible experience for new starters
  • Assist in financial processes such as payments, invoices, and expenses
  • Organize/manage inventory and mail when needed

Qualifications/Experience:

  • A Bachelor’s or Associate’s Degree is preferred
  • Previous administrative support experience 5+ years
  • Innate problem-solving skills and impeccable attention to detail
  • Ability to work across teams and provide support when the opportunities present themselves
  • Attention to details as well as strong written and verbal communication skills.
  • Work well under pressure in a fast-paced time sensitive environment
  • Strong organizational skills and proactively follow through on tasks
  • You are a problem solver at heart with a genuine interest in learning by helping
